The preparation phase is designed to make you audit-ready in a structured and supportive way — minimizing disruptions and duplication, while aligning with your operational realities.
It includes:
1. Self-Assessment & Orientation
- Self-Assessment Checklist
– As soon as the contract is signed, UCSL provides a structured checklist based on the GSTC Tour Operator Standard. This tool helps you map your current policies, procedures, and practices against the certification requirements.
– If you already hold another sustainability certification (e.g., Travelife), UCSL provides a customized version of the checklist – the result of a structured mapping exercise between the GSTC Standard and your existing scheme – to reduce duplication and streamline your preparation process
– A dedicated session with your UCSL coordinator, scheduled early in the preparation stage, provides an overview of the certification process, key milestones, and how to effectively use the checklist. This call also clarifies expectations and answers any initial questions.
2. Gap Analysis & Document Review
– After receiving your completed self-assessment checklist along with the referenced documentation, UCSL conducts a remote documentation review as a preparatory stage for the audit. This helps us understand the structure and maturity of your Sustainability Management System (SMS) and anticipate areas that may require additional attention during the audit.
– If requested, UCSL offers a remote pre-assessment in the form of a structured desk review of your documentation. Our experts review your materials across all 42 GSTC Criteria, including policies, procedures, records, and evidence of implementation.
– The goal is to verify alignment with GSTC requirements, identify documentation gaps, and provide early feedback on both strengths and improvement areas. This allows you to refine your SMS and finalize preparations before the formal audit begins.
3. Audit Planning & Tour Sampling- Tailored Audit Tour Design
– Based on your application and operational profile, UCSL selects a representative sample of tour products for audit in accordance with GSTC methodology. Sampling considers your portfolio size, types of tours, destinations, operational models (e.g., use of third-party suppliers), and sustainability-related risks.
Together with your team, we then co-design a tailored audit tour that:
– efficiently covers all sampled tours,
– prioritizes visits to high-risk or high-impact areas (e.g., sensitive ecosystems, subcontracted excursions),
– minimizes time and travel while ensuring verifying all necessary elements.
– We align the audit schedule with your operational rhythm, avoiding high-season disruptions whenever possible and accommodating seasonality. Our goal is to deliver an effective and low-friction audit experience adapted to the realities of your business.
